Contract and rates
After processing your registration, we will send you a contract for signature. Once this has been returned, we will provide you with a username and password to access net rates via this site, together with the email address of our central bookings department.
Booking procedure
The majority of our hotels are on allotment, so, workload allowing, we should be able to give you a reply by email the same day. However, for properties on request or part of a long tailor-made itinerary, please note that final confirmation can take a few days.
Payment
Once confirmed, an invoice will be sent to you by post. Prepayment is required for all operators unless other arrangements have been agreed. Payment can be made via bank transfer or company cheque in pounds sterling or euros; currency preference should be stipulated on registration before you begin working with us.
Vouchers
Service vouchers are extremely important when travelling to Cuba, and your clients may take your own company vouchers which will then be stamped on arrival by our representative to confirm that the services are the ones booked and allowing them to be redeemed with the Cuban suppliers.
You should produce one voucher per room per stay for the hotels and one voucher per person for each transfer. All information such as names, dates and Havanatour reference number should be clearly visible and a line included which reads All services booked and pre-paid through Havanatour UK Ltd. If your in-house system has difficulty producing vouchers in this format, we can issue them on your behalf, however please note these will be sent by post and can slow down operations, particularly for last minute bookings.
If passengers arrive without any documentation they will be charged locally for the re-issue of vouchers. It is therefore your responsibility to impress this fact upon your clients as Havanatur cannot be held responsible for any clients arriving without vouchers.
Representation
Havanatur have a network of representatives throughout the island. On arrival it is very important that clients make contact with our rep who will give them all the necessary information concerning welcome meetings and local contact details in case of emergency.
